We are Catalyst Collective a workers’ co-operative registered under companies acts number 2738104. Our website address is: https://www.catalystcollective.org.

What personal data we collect and why we collect it

If you contact us we will keep your emails, and the data around those. We store contact details of individuals who contact us for business reasons. We keep this data as we have a legitimate commercial interest in recording the correspondence with potential clients.

Once your organisation becomes a client we will need to store the contact details of one person within the organisation. We store this in order to fulfil our contractual obligations and as part of our professional indemnity insurance requirements.

If you register as a housing co-op we have to keep records of our due diligence checks to comply with anti-money laundering regulations. We have a legal obligation to store these records.

If as part of preparing your end of year accounts or undertaking a book keeping contract with you we require confirmation of the personal data of persons of significant control we will keep these records. We have a legal obligation under the Anti Money Laundering Act to store this data.

How do we store your records

The contact details of people who request a ‘Housing Co-op Registration Pack’ are stored on a spreadsheet on Dropbox servers which is shared with the three members of Catalyst, all of which only access this through password protected computers.

Emails are stored on password protected computers.

ID requirements for both housing co-op registration and accounts services are stored in a secured locked filing cabinet, with access restricted to named individual.

Who we share your data with

The contact details of people who request a ‘Housing Co-op Registration Pack’ are stored on Dropbox servers.

If you are registering a housing co-operative we will share your details with the FCA.

If there is a legal demand around money laundering regulations we may have to give your personal data to the relevant police and authorities.

How long we retain your data

We will keep hold of contact details whilst we still have our legitimate interest or until you request us to remove them. We will conduct 3 yearly reviews of our data to ensure we still hold a legitmate interest.

We will hold on to ID documents required as part of registration for five years after registration is complete.

We will hold onto ID documents required as part of accounting service for five years after the end of the business relationship.

What rights you have over your data

You can ask to see what information we have held on you.

You can request correction of any errors in the personal data we may have.

You can request erasure of data, if we hold your data for contractual or legal obligation purposes we will not be able to erase your data.

All hard copy data is kept locked away. All digital data is kept on password protected devices only used by members of Catalyst Collective.

In the event of a data breach we will let all affected customers know what data has been lost or shared.

What third parties we receive data from

We work with Radical Routes and often receive accounts information from co-operatives from them. We expect this to be anonymised, and do this when able.
